Darling Group Venue Ops Portal

The end-of-day, done in one place.

A practical guide to submitting reports, running events, and reading the numbers — plus who can see and do what. Written for venue managers and the senior team.

Rolling out across all venues through August — every venue live by 31 August 2026
01What it is

One portal instead of the wrap email and the spreadsheets.

The Venue Ops Portal is where each venue files its end-of-day report. It replaces the emailed wrap and the shared Dropbox sheets — you enter the day once, and the numbers flow straight to the accountants' Google Sheet, split by venue.

It also pulls your actual labour cost from Deputy, reconciles your cash-up against takings, and — for events venues — pre-fills bookings from Tripleseat. Head office gets a live Leadership dashboard across the group. Everything is private, invite-only, and role-gated.

i
Find it at venues.darlingportal.com. Add it to your home screen on the venue tablet or your phone for one-tap access.
02Signing in

Invite-only, no password to remember.

Head office adds you and emails an invite. Open it on your phone or the venue tablet and tap the link — that signs you in. There's no password; if you're ever signed out, request a fresh link from the login screen.

  • You only see your venues. The home screen shows the venues you're assigned to. Tap one to open its report.
  • Across multiple venues? Pick the right venue each shift — you can switch any time from the top bar.
  • One venue only? You'll go straight into it, no picker.
i
Portal accounts use your Darling Group company email only — personal addresses (Gmail, Hotmail, etc.) can't be added. If you don't have a company address yet, ask head office to set one up first.
03Roles & access

What each role can see and do.

Access is set per venue, so one person can be a manager at one venue and a department lead at another. The financial figures — sales, labour and wage % — are only shown to the roles that need them.

Head officeAll venues
Sees every venue and can edit any report. Exclusively sees the Leadership dashboard, Reports, Venue Settings and the People page. Set by the head-office toggle, not a venue role.
ManagerAll figures
Full access to their venue's EOD — sales, labour, wage %, cash-up. Edits every section, and submits and reopens the report. Sees the Events tab on events venues.
Assistant managerAll figures
The same as a manager for their venue — all figures, all sections, submit, and the Events tab.
FOH leadNo $ figures
Fills the FOH notes, the comps / QSA log and maintenance. Sees the report but not the financials. No cash-up, Events or submit.
Bar managerNo $ figures
Fills the Bar notes and maintenance. No financials, Events or submit.
Chef (BOH)No $ figures
Fills the kitchen / BOH notes and maintenance. No financials, Events or submit.
EventsEvents only
The Events module only — does not see the trading EOD. For events-only staff; managers and assistants already have Events, so they don't need this role.
i
On the dashboard: only head office sees the group Leadership dashboard. Managers and assistants see their own venue's full report; department leads see the report without the money; events staff see only events.
04The EOD report

Filing the end of day — for managers & assistants.

Open your venue, and work down the report. It autosaves as you go — you can start it during service and finish after close.

  1. Shift details

Confirm the duty managers on tonight and pick the weather impact. Back-dating? Change the date at the top before you start.

  2. Sales & covers

Enter takings (inc GST). Ex-GST and average spend calculate themselves. Venues that don't count covers won't show that row.

  3. Labour

Tap ↻ Deputy to pull the actual wage cost. The wage % shows against your venue's target with a traffic light — green on target, amber close, red over. During the day it's "actual so far", so re-pull once the last shift has clocked out.

  4. Cash-up & reconciliation

Enter each terminal and tender for your venue. The portal totals them and checks against takings, flagging any variance as Balanced, Over or Short. Petty-cash payouts are added back.

  5. Notes

FOH, Bar and Kitchen each add their wrap. FOH logs any comps, each tagged to a category — service recovery, QSA, staff meals, family and marketing. Anyone on the team can flag maintenance.

  6. Sales breakdown

If your venue tracks it (café Food/Bev/Alcohol/Coffee, or Token's set-menus, social hour and dumplings), fill those lines too.

  7. This week & tomorrow

A This week panel tracks Mon–Sun — week-to-date sales, your running wage %, and how much labour budget is left to land on target. The Tomorrow card forecasts the next day: rostered labour from Deputy, budgeted revenue (last week's same day) and the forecast wage % — so you can set your roster cuts / on-call with the number in front of you.

  8. Submit

Submitting locks the report, writes it to the accountants' sheet on your venue's tab, and emails the full report to head office. Need to fix something? A manager can reopen it.

i
Today's Google Reviews: the report shows the day's Google reviews for your venue so you can act on anything that needs a response.
05Cash-up

Balancing tenders against takings.

Each venue's terminals and tenders are set up to match how you actually reconcile — your EFTPOS terminals, Amex where you split it, cash, vouchers, function deposits, and any platforms (Uber Eats, DoorDash, MR YUM, and so on). Add petty-cash receipts as you go.

The portal compares your total tenders to the day's takings and shows the variance live. A small gap reads Balanced; anything larger is flagged Over or Short — check so you can find it before you submit.

i
If your terminals or tenders ever change, head office can adjust them in Venue Settings — the cash-up updates for everyone the next time the report opens.
06Department leads

FOH, Bar & Kitchen — just your part.

If you're a department lead, open the venue and you'll see the report with your section ready to fill. Write your wrap for the day; FOH also keeps the comps log. You won't see sales, labour or wage % — that's intentional, so the report stays focused on your part. The manager pulls it all together and submits.

07Event reports

Events — pre-filled from Tripleseat.

On events venues (Higher Ground, The Terrace, Chéri, The Observatory, Top Paddock, The Kettle Black), the Events tab sits alongside the EOD.

  1. New event report

Open Events, pick the date, and start a report for the function.

  2. Pull from Tripleseat

Tap ↻ Tripleseat — it fills the event name, client, space, guests, time and the contracted revenue (food, beverage and venue hire) straight from the booking.

  3. Enter the actuals

Adjust the takings for what actually happened and add any on-the-day extras. Pull event labour with ↻ Deputy. The variance against contracted updates live.

  4. Recap & submit

Write the recap — food & bev, kitchen, staff, client feedback, reset, anything for next time — then submit. It writes to the events sheet on the venue's tab.

i
Event takings are kept separate from the trading EOD, and event labour comes from Deputy's events departments — so your restaurant wage % stays clean.
08Leadership

The group view — head office.

The Leadership page rolls up every venue for the last 7, 30 or 90 days:

  • Group KPIs — net sales, wage %, covers and average spend, comps, and how many reports are in.
  • Sales trend — daily group net sales at a glance.
  • Venue league table — each venue's sales, covers, average spend and wage % traffic-lit against its own target.
  • Events — contracted versus actual, and event wage %.
  • Daily breakdown by venue — pick a venue to see every day's figures for the period.
  • Recent Google reviews — the latest reviews across all venues, newest first, with low ratings flagged.
09Reports & records

Every report, nicely laid out — head office.

You don't have to open the spreadsheet to read a day. The Reports page keeps every EOD and event report in one place, formatted to read at a glance.

  • Filter fast — switch between Daily and Events, choose a venue, and pick a month.
  • Open any report — the full day laid out: sales, labour and wage %, cash-up and variance, every note with who wrote it.
  • Emailed on submit — the moment a venue submits, the complete report lands in the inbox of everyone set to receive it, branded and ready to read on a phone.
i
Who receives report emails is set per person on the People page — tick Receives submitted reports.
10Venue settings

Tuning a venue — head office.

Every venue is configured to match how it runs. In Settings, head office can set each venue's wage-cost target, whether it tracks covers, its labour breakdown (single total, or FOH·Bar·BOH), the card terminals and tenders for cash-up, and any sales-line breakdown. Changes take effect the next time a report opens — no code required.

11Good habits

A few things that keep it clean.

  • Submit before you leave. If you forget, back-date it the next day — it's simply tagged Late, not lost.
  • Re-pull Deputy after the last clock-out so the wage % is the true final figure.
  • Find a variance before submitting. A red cash-up flag almost always means a tender was missed or a terminal double-counted.
  • Moving on? Head office deactivates people in People — access is removed instantly, everywhere.
